Program Coordinator (Full-time Position)

Overview
Lane Arts Council works to strengthen and support the arts in Lane County. We seek a qualified Program Coordinator to support the implementation of our arts education programs and our artist and arts organization support programs.. The position is also responsible for general administrative and office operations, serving as the first point of contact, and providing information about programs, opportunities and resources to the public. This is a new dedicated staff position that will be supervised by the Arts Education Program Manager and work closely with schools, teaching artists, artists, and the general arts community to increase the scope of arts education and support of our arts community throughout Lane County.

FTE: 1.0
Salary: $15/hr.

Travel: This position may require travel to schools throughout the county
Reports to: Arts Education Program Manager

Duties

Education Programs (50%)

  • Support in-school and after-school arts education programs at schools throughout Lane County, including rural outreach efforts.
  • Be the lead communicator for scheduling and contracting arts education programs between schools and teaching artists.
  • Support the design apprenticeship program. This includes attending trainings by Oregon Community Foundation and implementing a new assessment protocol.
  • Lead the coordination for summer camp.
  • Support teaching artist training events, workshops, and communications.
  • Coordinate arts education marketing material mailings to schools twice a year.
  • Maintain and update teaching artist profiles and web content for all arts education programs on Lane Arts Council’s website.
  • Develop content for newsletter and social media.
  • Other duties as assigned.

Artist Support & Community Programs (40%) (with oversight from Assistant Director)

  • Develop and coordinate professional development workshop series for artists, arts professionals, and arts organizations.
  • Be the lead contact for workshop presenters, venues, and participants.
  • Coordinate workshop marketing and community outreach throughout the year.
  • Support the Community Arts Grant Program. This includes promoting the grant opportunity, responding to questions, receiving and organizing applications, communicating with grant panelists and applicants, updating grant materials, coordinating the informational session and grant award ceremony.
  • Gather and evaluate feedback to inform program development.
  • Maintain the artist resources and calls to artists pages of our website.
  • Other duties as assigned.

Administrative (10%) (with oversight from Assistant Director)

  • Maintain an organized and welcoming office environment.
  • Serve as the first point of contact for visitors.
  • Answer phones and manage Lane Arts Council emails.
  • Maintain office accounts, services, and tech, including equipment and software; troubleshoot technical difficulties.
  • Purchase office supplies and equipment.
  • Other duties as assigned.

Preferred Skills

  • Bachelor’s degree
  • Experience coordinating programs in a K-12 school or nonprofit setting
  • Experience working for nonprofit organizations
  • Experience designing, developing, implementing, and supporting programs
  • Proficiency with Microsoft , Adobe InDesign, and WordPress

Finance Coordinator (Part-time Position)

Lane Arts Council works to cultivate strong and creative arts communities in Lane County by providing high-quality arts experiences, engaging people of all ages in arts education, and encouraging artistic endeavors. The Finance Coordinator will oversee all of Lane Arts Council’s financial transactions and ensure our financial practices maintain the highest level of integrity.

FTE: .375, non-exempt, 15 hours a week
Compensation: $20/hour
Reports to: Assistant Director

Job Duties and Responsibilities:

  • Maintain financial records of Lane Arts Council by accurately recording the day to day financial transactions of the company
  • Check and verify source documents such as invoices, receipts, computer printouts
  • Allocate and post financial transaction details to QuickBooks
  • Reconcile and balance all accounts
  • Draw up monthly financial statements (income statement, balance sheet and dashboard)
  • Collate and analyze account data and generate financial reports
  • Maintain internal control systems
  • Manage accounts payable and accounts receivable
  • Streamline and manage communications for all administrative and program invoices
  • Prepare checks, ACH payments and bank deposits
  • Prepare and process payroll
  • Comply with relevant reporting requirements
  • Calculate and prepare tax payments
  • Track grant budget income and expenditures
  • Assist with budget preparation
  • Assist with annual compilation
  • Be the lead contact for health insurance and retirement benefits
  • Maintain schedule and complete forms (property-tax exemption, insurance, etc.)
  • Maintain complete filing system to support financial records
  • Track and maintain inventory
  • Issue 1099s to contractors
  • Support office management including answering the phone and greeting visitors
  • Other duties as assigned

Education and Experience:

  • Extensive knowledge of QuickBooks and Excel (required)
  • Extensive experience in bookkeeping,  with high level knowledge of nonprofit accounting
  • Knowledge of generally accepted accounting principles and procedures
  • Experience processing payroll
  • Knowledge of data management and financial data analysis
  • Knowledge of relevant legislation and regulatory requirements
  • An associate degree in accounting, finance or business an advantage
  • Bookkeeping certification
